Once you have set up Affiliates Manager plugin on your site, your affiliates will earn commissions when they refer visitors to your website (via affiliate links) and visitors get converted into customers (because they have purchased something). This commission keeps accumulating in each affiliate’s profile. No money gets transferred to any affiliate at this stage. They keep accumulating the commissions in their account. The affiliates receive the money when you make the actual payout. You can do the payout once every month (or any other time that is convenient for you).

As an admin, you have an option to check the earnings of all affiliates from your dashboard. It’s located under Affiliates->My Affiliates menu.

What is Balance

Balance is the outstanding commission of an affiliate. This is the amount that you still haven’t paid to the affiliate.

What is Earnings

Earnings is the all time earnings of an affiliate. Every time you make a payout it gets added to the earnings.

When to Make the Payout

It’s up to you when you want to make the payout. Usually most merchants do it once a month (ideally at the start of the month to pay previous month’s outstanding commission).

Affiliate Payout Options

There are two ways to pay your affiliates.

PayPal Payouts

This option allows you to make payments to multiple affiliates via PayPal. In order for PayPal Payouts to work, you need to have this API enabled in your PayPal merchant account.

Manual Payout

Manual Payout allows you to make payments to your affiliates with your own payment method. This works great if an affiliate doesn’t accept payout via PayPal or you don’t want to use PayPal to make affiliate payments. You can manually send the money to the affiliates using any method that you prefer (example: bank transfer, cash, cheque etc).

In order to make a manual payout click on the “view” button.

Switch to the Account Finances tab and click Apply Payout.

You can either pay the current outstanding balance or any other amount.

When you click the Apply button, you are basically telling the plugin that you have taken care of the payments manually and that it should set the affiliate balance to zero (if you selected current balance) or the amount that is outstanding.

The plugin will keep accumulating new commissions less the amount that you have marked as paid.

When using the Affiliates Manager plugin, your affiliates can link to any page of your site with their affiliate ID and they will get the commission if the referred customer purchases an item.

Lets say you have a store page with the following URL:

http://www.yoursite.com/my-store

Your affiliates can send traffic to the above page by creating an affiliate link by appending their affiliate ID (wpam_id) to the URL.

Example:

I have created an affiliate account on the site and my affiliate ID is 1.

I can now create a like to the above mentioned store page URL by using the following URL:

http://www.yoursite.com/my-store/?wpam_id=1

When a visitor clicks on the above link and purchase something from the store, the referrer will get the commission.

Get the Links From the Creatives Menu

Your affiliates can go to the “creatives” menu in the affiliate portal which will give them some simple links that they can use to refer users to your site. These can be easily used on facebook, twitter, email etc.

Adding Affiliates Manually

Click on the “New Affiliates” link from the admin dashboard menu. Fill in the details and hit the “Add Affiliate” button to create a new affiliate account:

Self Registration

Your users can go to the store affiliates page and register an account.

You (the site admin) will receive an email notification when a new affiliate registers. You can then approve or deny the affiliate account.

  • Find the affiliate in question in your “My Affiliates” screen,
  • click the “View” button,
  • then navigate to the “Overview” tab.
  • There you can click the “Decline” button.
  • Once declined, you can additionally block them from trying to reapply.

Keeping their account in the system allows you this flexibility, and helps you track applications to avoid fraud.

Deactivate an Account

Affiliates that are active may be deactivated. Find the affiliate in question in your “My Affiliates” screen, click the “View” button, then navigate to the “Overview” tab. There you can click the “Deactivate” button.Taking these actions hides them from the normal view under “My Affiliates”. You can see them by changing the Status filter to “All (Including Closed)”. Closed accounts will have a status of Declined or Inactive (respectively).

By default, WP Affiliate Manager’s fields have built-in validation to handle 10-digit phone numbers and 5-digit numeric zip codes. This, however, does not mean you can’t use the WP Affiliate Manager in your country.

In your WP-Admin, go to Affiliates -> Settings, and then click on the “Affiliate Registration” tab. You can disable the default “US” fields by unchecking the checkbox in the “Enabled” column. Then you can replace those fields with a custom field of your own by clicking the “Add Custom Field” button.

In the “Custom Field” dialog, you can create a new field to capture your Phone, Province, Post Code or whatever else you’d like to add. By using a “Text” Field Type you can set a maximum length, or by using a “Number” Field Type validation will ensure it’s all digits.

PayPal Mass Pay is a PayPal API that allows you to send money to multiple people. Our affiliates manager plugin offers integration with PayPal Mass Pay so you can send commission payments to multiple affiliates at the time.

Requirements

To perform PayPal Mass Payments, you will need the following:

  • WP Affiliate Manager 1.3 or greater
  • A PayPal Premier or Business account
  • PayPal Mass Pay API enabled in your PayPal merchant account (contact PayPal if it’s not enabled already)
  • PayPal API credentials – explained below

Step 1: Acquiring Your API Credentials

In order for the WP Affiliate Manager (WPAM) to communicate with PayPal, it needs access to your account via the PayPal API. This allows WPAM to access your account and process transactions without knowing your PayPal username and password. The credentials can be revoked at any time by you, allowing you to protect your account.

To begin, log in to your PayPal account, and go to the Summary tab.

There should be a link at the bottom left corner of the page named Seller preferences (Under Selling tools). Click on it.

On the following page, you will be presented with a list of options. Click the Update link next to API
Access.

Next, you’ll be shown the Payment API credentials page where you’ll be presented with multiple options. You’ll want to
click on Manage API credentials under NVP/SOAP API integration (Classic).

The next page will ask you whether you want an “API Signature” or an “API certificate”. WPAM
currently only supports the “API Signature” option. Select Request an API signature, and then click Agree
and Submit (Note, it may also say View API Signature if you’ve already completed the request process).

You should be brought to a page containing your personal API credentials that looks something like this:

Save these values somewhere and move on to Step 2.

Step 2: Configuring WP Affiliates Manager

WPAM has PayPal Mass Pay disabled by default. If you try to use PayPal Mass Pay, you will see this screen:

Click Save Settings and move on to Step 3.

Step 3: Making a Payment

Now that WPAM is configured for PayPal Mass Payments, you should see the following screen when you go to the PayPal Mass Pay page in the WPAM admin menu.

Click New Mass Payment and you will be shown a page that shows all of your affiliates that have selected PayPal as their preferred method of receiving money, as well as their balances.

By default, only affiliates who have earned more than the minimum payment requirement will have a checkbox next to them. However, you can add a check next to any of the affiliates who have not reached the payment minimum to send them a payment if you wish.

The Payment Amount column allows you to specify the amount you wish to pay each affiliate, which defaults to the affiliate’s current standing. The totals at the bottom will update automatically when you modify the payments in the table. Once you’ve selected the payments you’d like to send, you’ll be asked to review the payments before submitting to PayPal.

Affiliates who have been marked as inactive and have an unpaid balance will be displayed in red.

As you can see above, I entered a $101.25 payment to Dave Grohl and a $50.00 payment to Bob Denver. WPAM will estimate the fees for this mass payment. This is subject to PayPal’s whims. The current formula is 2% per payment up to a maximum of $1 per payment. Additional fees may apply for international transactions and will NOT be shown here.

WPAM will show you the current balance of your affiliates, the payment you’re going to send them, and the expected new balance. Click Submit Mass Payment to PayPal to send this payment.

If the payment is successful, you’ll be presented with a success screen. The payments will be applied to your affiliates as a pending transaction. They will remain pending until the results of the mass payment are known. When you get to this success screen, it simply means that PayPal accepts your list of payees and will try to get the money to them. The status of each individual payment is reconciled later.

The payment has been submitted and now we wait.

Step 4: Reconciling Payments

WPAM keeps a record of every payment you’ve ever sent using PayPal Mass Pay.

Click View Previous Mass Payments to view a list of all payments processed by WPAM.

Here we can see a couple of failed payments (my API configuration was incorrect), a couple of completed payments, and the $5.00 payment we issued in this tutorial. Let’s view that by clicking View next to the $5.00 payment.

This view shows the status of the overall mass payment and all of the associated transactions. In this case, I just have one associated transaction.

How do we reconcile this payment? Well, first we need to find out if the mass payment is actually complete. We can do this by logging into our PayPal account and checking the status of the transaction.

Once we are confirmed that the payment is complete, we can go back to that page with the pending $5.00 payment to Billy Bob. Click Manually reconcile payments.

This will take you to a page where you can manually select the outcome of each transaction.

I know Billy Bob received the money (my PayPal account tells me so), so I will select Success from the dropdown menu next to his transaction. Once I have selected an outcome for all transactions, I click Reconcile Mass Payment, completing this mass payment.

Payouts is a PayPal API that allows you to send and manage payments to a large number of recipients simultaneously. If you are using our Affiliates Manager plugin, you can use Payouts to send payments to your affiliates.

Payouts are available everywhere that Mass Payments are available. Payouts that you send through the Payouts API appear as Mass Payments in your PayPal account and in Mass Payment reports.

Prerequisites

Before you start using Payouts you need to have it enabled in your PayPal account. To send payout requests from the Payouts web interface, contact PayPal. When your account is approved for Payouts, complete the steps described on this page.

How to Make a Mass Payment Using PayPal Payouts

This guide describes how to send payouts using a .csv (comma-separated value) payments file (generated by the Affiliates Manager plugin) and the Payouts user interface in PayPal.

1. Go to Affiliates > Manage Payouts from your WordPress admin dashboard and generate a PayPal Payout file (paypal_payout.csv).

2. Log in to your PayPal account at https://www.paypal.com.

3. Click Money at the top of the Summary page and then Send or request money on the left.

5. From the Choose Payouts Recipients page, click Browse and select the “paypal_payout.csv” file generated by the Affiliates Manager plugin. Click Continue.

1) Once the Affiliates Manager plugin is installed it will automatically create 3 pages ‐

a) Store Affiliate ‐ A welcome page which allows a user to sign up for an affiliate account or login to their dashboard.

2) When a user clicks on the “register” link it will take them to the registration page.

3) When the application is submitted the plugin will notify the admin of the new affiliate sign up via email. The admin can then view the application (from WordPress admin dashboard) and choose to approve/decline it. Once the admin approves it the affiliate will receive the account approval email. A WordPress user account will automatically be created for the user. They can use it to login to their affiliate dashboard. The dashboard appears on the Store Affiliates page for a logged-in affiliate.

If the Automatically approve a new affiliate option is enabled in the settings (Affiliates > Settings > General), the affiliate application will automatically get approved.

4) Once an affiliate logs in for first time after getting approved, they need to review the “terms and conditions” and accept it on the “Store Affiliates” page to get started.

5) Once the affiliate agrees to the terms they will need to chose a payout method (example: PayPal, Check or Manual).

6) After the payment details are submitted, the account will automatically become active and ready for use. The affiliate can then get started by selecting some creatives (which the admin had already configured in the My Creatives interface). They can also generate a referral link for any page on your site using the Generate Referral URL button.
